EVENT PLANNING & PHOTO EXPERIENCES
Photo Booth Experiences for UCLA & Westwood Events
Give students, alumni and campus guests a photo experience with a clear purpose—from a personalized collectible to a collaborative mosaic.

Start with the campus audience
A departmental reception, student celebration and alumni gathering have different rhythms. Decide whether the activation should bring people together, provide a keepsake or support a larger event identity. Share the anticipated attendance alongside the number of people likely to participate; those numbers need not be the same.
For a Westwood hotel reception or off-campus celebration, name the actual venue and room in your brief. For an event on UCLA property, identify the sponsoring department or organization and the person coordinating with the campus event team.
Choose a format that fits the occasion
AI trading cards for individual keepsakes
An AI trading card experience can give each participant a recognizable place in a shared visual theme. Establish the card title, approved artwork and any personal information before production. A department celebration might use a common design with guest-selected roles; an alumni event might use a class or reunion concept. Names, marks and likenesses need appropriate approval.
DoodleBots and photo mosaics for shared participation
DoodleBots turn the portrait process into something guests can watch. Keep the collection area distinct from the capture position so finished artwork does not interrupt the next guest. A photo mosaic supports a different outcome: individual images contribute to a larger design. Decide when the mosaic should be complete and how people arriving late will participate.
Coordinate approvals before finalizing the layout
UCLA’s event-insurance guidance directs organizers to discuss requirements with their SOLE advisor or event manager early. Ask your campus contact which approvals and documentation apply to your particular event. Venue access, insurance and branding requirements should be resolved before the production plan is treated as final.
Provide the operator with an approved load-in route, room access time, parking instructions and an on-site contact. A campus building may be busy while setup is underway, so keep equipment movement separate from participant circulation wherever the venue requires it.
Make participation comfortable
Plan a clear entrance, an accessible capture position and a place to collect prints or cards. Tell participants what the experience produces and how images will be delivered. When a concept uses AI processing, explain that experience before capture and discuss an alternative with the organizer for guests who prefer a conventional portrait.
Agree on image use, gallery access and any opt-in collection in advance. Do not put private student details or internal department information into a public design. If children will attend, have the organizer settle the applicable participation and photo-permission process.
What to include in your UCLA or Westwood inquiry
Send the event date, sponsoring organization, venue and room, operating hours, expected participation and desired takeaway. Include the approval contact for artwork and the person managing venue logistics. If a reveal, speech or reception transition affects the activation, include that timing too.
Los Angeles Photo Booth is an independent event provider. This planning page does not imply affiliation with UCLA, endorsement or approved-vendor status; availability and venue authorization are confirmed for each event.
