Plan for the building as well as the event

Downtown events may bring guests from a conference floor to a hotel reception, an office lobby or a separate dinner venue. Treat the photo experience as part of that journey. Determine when people will arrive, how much time they will have and what they should leave with.

A workplace lobby has different access rules from a hotel function room. Before selecting a location, ask the venue about vendor check-in, freight access, loading windows, elevator reservations and security contacts. Share those answers with production so the setup schedule reflects the building’s actual requirements.

Match the experience to your business occasion

Recognition and team connection

For a team celebration, AI trading cards can place guests inside one visual concept without making every image identical. Agree on approved titles and optional personal details. A photo mosaic creates a collective result and can be planned around a reveal during the program.

Reception entertainment and branded content

DoodleBots give guests a drawing process to watch and a keepsake to collect. GlamBot creates a directed video moment where the venue can accommodate the equipment and operating zone. For a more flexible social flow, discuss the distinction between a fixed capture station and an AI roaming experience.

Keep the arrival sequence simple

Registration, coat check, refreshments and the photo queue compete for the same early attention. Place the activation so guests can understand it before joining. Separate capture from collection where the selected format needs it, and keep venue access routes clear.

Work backward from speeches or dinner. If the activation pauses during a presentation, explain that on the event signage and in the run of show. If attendance is staggered, avoid a mosaic reveal that leaves later arrivals without a meaningful way to participate.

Handle multi-venue logistics explicitly

Los Angeles Tourism’s convention district overview can help organizers explore nearby event settings. Proximity does not remove the need for separate access approvals. If the program changes venues, confirm whether the activation stays in one location or requires a separately planned setup.

For rooftop or outdoor receptions, discuss wind, ambient light, weather alternatives and equipment protection with the venue. For office events, confirm whether the production crew can enter before employee or guest arrival and whether equipment can remain during a program break.

Set boundaries for branding and image use

Use a short approval chain for logos, campaign language, AI styles and final output examples. Keep confidential launch material out of public galleries unless the organizer has expressly approved its release. Decide whether guest delivery and any marketing opt-in are separate parts of the experience, and communicate those choices clearly.

Useful success measures include completed guest sessions, collected keepsakes or participation in the final mosaic. Agree on which measures the chosen setup can actually provide; a busy queue alone does not establish lead quality or commercial results.

Send the details that affect production

Include the date, building and room, event purpose, guest arrival pattern, operating window and desired output. Attach the current floor plan if available and identify the building or venue contact. Our corporate activation overview provides more format ideas.
